North Central Texas Trauma Regional Advisory Council

NCTTRAC is a legislatively mandated regional council supporting trauma and emergency healthcare system coordination and preparedness across North Central Texas. Member organizations include: UT Southwestern, John Peter Smith Hospital System, Baylor Scott & White Health system, and all city fire departments within the counties of Collin, Cooke, Dallas, Denton, Ellis, Erath, Fannin, Grayson, Hood, Hunt, Johnson, Kaufman, Navarro, Palo Pinto, Parker, Rockwall, Somervell, Tarrant, and Wise.

Objectives / Goals

  • Create a safe, secure digital hub for regional collaboration
  • Build a membership portal with controlled access for member-only content
  • Implement a shared calendar that surfaces relevant meetings/trainings by member type
  • Ensure the experience is mobile-friendly for on-the-go use
  • Integrate modern technologies (GrowthZone + SharePoint) to improve communication and file sharing.

Challenge

Initial Contract: NCTTRAC needed a better way to communicate across a large network of member organizations. Each member group had its own systems, creating fragmented schedules, duplicated efforts, and missed information—critical risks when coordination matters most in emergencies. NCTTRAC also needed a clearer, more robust public-facing website to explain its programs, committees, and role in the region.

Monthly Maintenance: As a high-profile public-facing organization, the site required ongoing security reinforcement, proactive monitoring, and reliable backups.

2025 Update: Newer tools enabled improved document access and coordination through modern integrations—prompting NCTTRAC to streamline member services using GrowthZone and SharePoint.

Solution

Amplus Agency designed and developed a custom portal experience that was easy for members to use and simple for NCTTRAC to manage internally. The solution included structured member access, an integrated calendar workflow, and long-term maintenance focused on stability and security.

In 2025, Amplus modernized the portal experience by integrating GrowthZone’s Member Hub and enabling seamless access between the website and the member platform through single sign-on (SSO).

This expansion enabled NCTTRAC to centralize communication and improve document collaboration through SharePoint-based workflows.

Result

Why It Worked

This project succeeded because the solution was built with the same pillars a strong website audit evaluates: information architecture, user experience, governance, security, and scalable integrations.

First, Amplus approached the website and portal as a system—not just a set of pages. We clarified user groups (public visitors vs. member organizations), then structured navigation and permissions so each audience could access the right content quickly and securely. That separation reduced confusion, eliminated duplicated communication pathways, and improved reliability during time-sensitive situations.

Second, the long-term success came from operational maintainability. The portal was designed so NCTTRAC could manage core functions internally, while monthly support ensured the platform remained stable through updates, backups, and proactive monitoring. This is especially critical for high-target organizations where security and uptime are mission-essential.

Finally, the platform was built to adapt over time. As newer tools became available, Amplus modernized the experience without disrupting adoption by integrating GrowthZone and SharePoint into the existing member workflow to improve communication and document collaboration. That future-proof approach kept the website relevant as technology and user expectations changed.

For an audit audience, the takeaway is clear: when a site is designed with clarity, security, and scalability from day one—and supported with ongoing optimization—it becomes a dependable communications infrastructure, not a recurring pain point.
